The Beauty Backed Trust are hiring an Administrative Assistant to help support with the day-to-day running of the Trust.

Job Description

The Trust Administrative Assistant will be responsible for providing day to day administrative assistance for The Trust and the Trust Manager. The person in this role must be a self-starter, take initiative, have a strong work ethic and attention to detail as well as being able to multi-task.
The candidate will be responsible for providing seamless and professional administrative support to enable the smooth running of the Trust.

Responsibilities

  • Providing project administrative and co-ordination support to new and on-going projects and campaigns including but not restricted to the Grant Programme
  • Meeting management – Co-ordination and scheduling of internal /external meetings and conference calls, video conference meetings for the team both internally / externally
  • Creating and distribution of agendas and meeting minutes
  • Research appropriate articles and statistics for social media, a newsletter and website articles
  • Provide general administrative assistance to the Trust Manager
  • Email inbox management
  • Answering general enquiries
  • Liaise with the Advisory Board and Brand Ambassadors as required

Experience / Skills required

  • Strong organisational, time management, planning and administrative skills including excellent attention to detail
  • Enthusiastic, proactive approach with a good use of initiative and flexible, can-do approach
  • Discretion with regards to handling of confidential information    
  • Must be able to work by themselves and as part of a small team
  • Effective prioritisation of multiple projects
  • Excellent written and verbal communication skills
  • Ability to work in a very fast paced team with very busy Trustees
  • Social media and website support
  • Excellent ICT skills including Outlook and Excel, data collection, working with improving processes and procedures
  • Ability to write well-structured agendas and meeting minutes
  • Ability to work independently, seeking advice and support when appropriate
  • Experience/knowledge of the Beauty Industry is ideal but not essential
  • Experience in fundraising is ideal but not essential

Role

  • Home based with travel to London for meetings and events when required
  • Part time to full time hours (minimum of 25 hours per week)
  • 20days holiday (pro rata if part time) plus Bank Holidays
  • Salary £25,000 (FT)
